Job Summary: This position provides administrative office support to the Organization Development team (OD) with the Office of Human Resources. The incumbent will be responsible for scheduling, ordering, and tracking logistical data for professional development. Activities will also include coordinating meetings and appointments and performing clerical tasks such as: answering phones, reviewing and approving request for educational assistance, professional development, and responding to emails. 

Minimum Qualifications:

Associate's Degree and 3 years of experience in administrative functions or a combination of experience and education sufficient to successfully perform the essential duties of the job.

Licensing Requirements: Valid Driver's License

Hiring Range: $44,213 - $49,740

Preferred Qualifications:

Experience in organization development and professional development
Experience with Zoom, office management
Experience in project management, working knowledge of databases, excellent organizational and tasking ability, strong attention to detail

Job Specific Task List:

  • Provide administrative support to the coordinator, organization development (OD), for the scheduling of requests for professional development including administrative tasks assigned to OD or any other functional unit or College request identified relating to professional development. - (Essential)
  • Maintain training records such as trainee lists, schedules, attendance sheets, and departments resources. Ensure property in the classrooms are set up properly, prepare and disseminate material such as instructional notes, feedback forms, resolve issues as they arise on site. Analyze and submit participant evaluation reports on training activities and results. - (Essential)
  • Schedule Zoom sessions or book classrooms and ensure they are properly set up, and act as a point-of-contact with established vendors, facilitators and participants, resolve professional issues as they arise, - (Essential)
  • Applies a great understanding of organization development policies and procedures and ensures optimal employee experience and accuracy, when performing duties which may include: coordination and scheduling of workshops, debriefing sessions, presentations, and meetings with employees for the OD team. - (Essential)
  • Revise and update information of online documentation; answer questions and provide procedural guidance to employees; assist during peak cycles of educational assistance applications and request for external training and travel. - (Essential)
  • Interpret and understand the policies and procedures pertaining to Educational Assistance policy for HACC coursework, Non-HACC coursework, request for External Training and travel and the Professional Development Fund. Assist with providing information about OD professional development, manage requests and maintain records. - (Essential)
  • Assist with special projects which may include: Collegewide effective communication, employee engagement, diversity initiative, perform basic research; test/explore new processes; create/update/run reports; create informational/educational materials for employees; serve as backup to staff, including conducting presentations and employee training sessions, as needed. - (Essential)
