Job Summary: This position reports to the Vice President, Human Resources & Organizational development and is responsible for administering the shared governance policy development process and maintaining the policy repository. Work involves serving as administrative coordinator for policymaking activities, collaborating with constituency leaders, managing digital records, and communicating decisions about the administration of shared governance policies to the College community.
Minimum Qualifications:
Associate's Degree and 3 years experience or, a combination of experience and education sufficient to successfully perform the essential duties of the job.
Licensing Requirements:
Hiring Range: $25.00 - $26.00
Preferred Qualifications:
- Experience working in higher education, particularly within a community college or shared governance environment.
- Experience coordinating policy development, review, approval, implementation, and/or revision processes.
- Administrative experience, preferably supporting executive leadership, committees, or governance activities.
Job Specific Task List:
- Responsible for coordination of policy and procedures documents to include the following actions such as review update and retirement of existing policy and procedures, stored within the college policy management system. - (Essential)
- Oversees a process whereby draft policies are reviewed by constituency groups, the president's Cabinet, and the Board of Trustees, as appropriate; serves as administrative coordinator by drafting agenda, scheduling meetings, taking minutes, and performing similar support functions. - (Essential)
- Provides training to College policy owners and their designees on the College review process of drafting shared governance policies; establishes a standard template for use in policy development and ensures consistency in drafting and approving the layout and content of policy documents. - (Essential)
- Employs exceptional organizational skills in managing digital documents; reviews and implements, as necessary, an automated, online system for reviewing and accepting feedback on draft policies; research and suggests more efficient procedures for policy development and review.; establishes a cataloging system for organizing policies; establishes a cycle and process for the ongoing, routine review of policies. - (Essential)
- Maintains policy repository in cooperation with the Office of Information Services and Technologies, including establishing guidelines for the repository's use, auditing documents to ensure consistency with guidelines, and providing training to users; maintains a historical record of changes to policies and conducts research on past revisions or eliminations of policies. - (Essential)
- Communicates routinely with stakeholders within the College to ensure that their needs regarding the documentation of policymaking activities and decisions are met. - (Essential)
